Management Information Systems Policies
Security :.
- Keep your passwords absolutely private. All passwords are confidential. Do not share them with anyone. Report any violations to the Internet and Network Administrator.
- Try to memorize your passwords. Do not write them on a piece of paper.
- Never give your passwords over the phone or by email.
- Select passwords that are hard to guess consisting of combinations of characters forming words that cannot be found in a dictionary.
- Log out of the network if you are going to leave your workstation unattended.
- Do not leave sensitive or confidential information displayed on the monitor when you are not working on the computer.
- Do not allow students to work on your computer while you are logged in with your name.
- Keep all rooms and offices properly secured at all times.
Viruses :.
- Virus check all diskettes before you use them in any way.
- Periodically virus check your local drives.
- Do not open suspicious email attachments. Whenever you send an email attachment to someone, make sure that you mention the existence of the attachment in the main body of text of your email by its filename.
- Do not allow execution of suspicious macros in MS-Office or Open Office programs .
- Report any irregular software or hardware behavior to MIS.
Networks :.
- All files on UNIVERSITY OF BAGUIO’s computer networks are property of UNIVERSITY OF BAGUIO.
- All files stored on network drives are accessible to network administrators.
- All users have been assigned rights to access certain software and data files on the file servers according to their specific needs. Additional access must be requested and given at the discretion of the Network Manager.
- All files stored on private home folders on the network can be accessed only by the owner of the folders, users with appropriate rights to the folder, as well as the network administrators.
- Common folders are equally accessible to all users of the network.
- Beware that files stored in Common folders can be viewed, modified, renamed or deleted by any network user.
- Common folder files may be deleted periodically without warning.
Internet and Email :.
- Internet access and email is used only for school related business.
- While on-line remember you represent UNIVERSITY OF BAGUIO and adhere to the particular network's procedures and etiquette of appropriate net behavior.
- Each user’s Internet activity is logged and can be viewed if necessary.
- Filtering software is installed restricting access to inappropriate sites.
- Our filtering software can restrict or allow access to specific sites at your request.
- Never allow students to go to the Internet without teacher supervision.
- Report immediately any suspicious student activity to the deans.
Bandwidth :.
- Do not propagate emails with big, graphics oriented attachments. Especially avoid sending this type of email to the Everyone group.
- If you need to have everybody access a specific file, put the file in a Common access directory and notify the people to go and view it.
- Do not use bandwidth intensive applications such as file downloads, MP3 music files, streaming video, etc., over the Internet during instructional hours.
